Roles and Responsibilities

  • Attend all meetings, type meeting notes, and disburse to all involved
  • Set up meetings and send them out to all required
  • Collate weekly reports and send to CEO (assist in developing what reports are required from which companies)
  • Events – Organising EOFY, EOY party, special events, and launches; including liaising with other offices to ensure continuity with the CEO
  • Assist in setting up all events for G&P(747 Gratitude & Pasta business)
  • Book Zoom calls
  • Coordination of CEO, COO, and CFO calendars and meetings
  • Manage 365 Sharepoint Admin folders and document storage, implement best practice systems for storage
  • Update and manage SOP’s
  • Special Projects – Assist with strategy days, office moves, system upgrades, etc
  • Assist in setting up systems and procedures for all new entities
  • Assist in setting up all-new systems and procedures for MSG
  • Assist in creating a checklist for new business start p pack/onboarding
  • Other tasks as directed
  • Acting as the point of contact among executives, employees, clients, and other external partners
  • Managing information flow in a timely and accurate manner
  • Managing executives’ calendars and set up meetings

Required Experience

  • Excellent written and communication skills acquired over 10+ years in customer-centric and support services level
  • Maintain a professional and confidential working style, with motivation, dedication, integrity, and humor
  • Excellent capacity to retain new methods of working, to embrace ideas with efficiency and flexibility
  • Project coordination involving influencing and negotiating with stakeholders on deliverables and timeframes.
  • Advanced computer software skills including Microsoft Project, Excel, Word, PowerPoint, and Outlook
  • Experience using Xero (data entry and accounts payable), SharePoint, and Microsoft 365
Minimum Qualifications

  • Accounting/financial experience preferred 
  • Construction, Property Development, or Manufacturing experience preferred
