Roles and Responsibilities

  • Data Entry
  • Assist the Administration department with running, reviewing, and compiling various reports
  • Prepare documents for management approval
  • Complete cost adjustments upon request
  • Compile and prepare intercompany invoicing
  • Track incoming payments from clients and vendors
  • Support projects with pay applications and other accounting functions
  • Vendor verifications and W9 requests
  • Perform routine audits
  • Complete payment applications for a lump sum and GMP projects
  • Manages and tracks preliminary notices and monthly lien releases
  • Ensures pay applications and subcontractor invoices are approved and submitted to OII prior to month-end and year-end financial closing
  • Ensures subcontractor and sub-tier compliance on all prevailing wage projects
  • Timely payment for compliant subcontractors to ensure we have a lien and stop notice free projects
  • Provide administrative support for projects by running reports, act as a liaison between accounting/contracts and project team, and performing a variety of accounting and clerical functions 

Minimum Qualifications

  • Comprehensive understanding of General Ledger accounts, proper project cost coding, phase codes, and budgets
  • Ability to troubleshoot potential errors in coded invoices, expense statements, and other accounting transactions.
  • Proficient with the following software programs Microsoft Office, BlueBeam, Box
  • Ability to electronically organize and maintain files

A Successful Candidate must have

  • Fluency in speaking, reading, and writing English
  • Familiarity with basic accounting principles and practices
  • Strong communication skills with the ability to interact productively with the team
  • Keen attention to detail and strong organizational skills
  • The attitude of working efficiently – allocate one’s own time efficiently; handle multiple demands and competing priorities
  • Proficiency with Microsoft Excel and Outlook
